People Assistant

Dumfries based

Full time, 9am-5pm Mon-Fri

Salary: £27,976 – £30,946 depending onqualifications and experience

Job Role

Todeliver high-quality administrative support across recruitment, onboarding, andgeneral business operations, ensuring efficient and well-organised processes.

Toprovide first-line HR support to managers, handling low-level HR queries,coordinating HR processes, and ensuring compliance and consistency across theemployee lifecycle.

You willbe based in Head Office and work closely with people managers and otherdepartments at Greenleaf to provide overall support across administration andHR processes. You will report to the People Advisor and work collaborativelywith our other office teams and L&D department.

You willbe a part of providing excellent care to the young people by providing thestructure of support around our care teams that enables them to look after theyoung people.

SpecificDuties and Responsibilities

Onboarding& Offboarding

  • ManageATS and recruitment inbox
  • Facilitatethe advertising and promotion of vacancies on various platforms (job boards,social media, etc.)
  • Scheduleinterviews and coordinate candidates
  • Processreferences and safer recruitment checks
  • Preparecontracts and onboarding documents
  • Coordinateinductions and training schedules
  • Ensureall onboarding compliance is completed
  • Manageleavers and exit process
  • Completeexit interviews
  • Managethe employee lifecycle and provide support throughout
  • Gatherstaff feedback at onboarding and offboarding stages

General Administration

  • Monitorinbox/phones and respond or triage queries
  • Maintainfiling systems and databases
  • Providemeeting and diary support
  • Maintainaccurate systems and documentation
  • Supportdata entry and reporting for HR and leadership
  • Curatethe company newsletter and other company-wide communications
  • Officeadministration

HR Support

  • Managethe company’s HR systems
  • Respondto low-level HR queries from managers and staff
  • Provideguidance based on policy and templates
  • Escalatemore complex issues to People Manager
  • Assistmanagers with flexible working requests (documentation, timelines)
  • Preparechange of T&Cs letters
  • Supportinvestigations (note-taking, collating documents, timelines)
  • Monitorprobation periods and alert managers to deadlines
  • Ensureprobation reviews are completed and recorded (policy compliance)
  • Collectand analyse data

People Culture

  • Take aproactive approach to staff voice and engagement
  • Manage employeevoice channels
  • Promotecompany values and culture

Compliance & Records

  • Maintainaccurate HR records and ensure GDPR compliance
  • Keepaudit-ready documentation
  • Preparestaff files for inspections
  • Conductinternal HR audits (files, compliance, processes)
  • Producelower-level HR reports (absence, probation, compliance)

Requirements

  • RelevantHR qualification (such as CIPD Level 3 or Level 5)
  • 1-2 yearsadministrative experience
  • Knowledgeand understanding of the principles of teamwork
  • Abilityto work independently
  • 1-year HRexperience
  • Workingunderstanding of residential childcare
  • Understandingof relevant regulatory requirements for residential childcare providers
  • Full UKdriving licence
