Hours – Monday to Friday, 25 hours per week

  • Mon & Wed – AM Start
  • Fri – AM/PM – interchanging

Holiday– 31 days annual leave pro rata, increasing by one day per each year of service, after 5 years of continuous service (to a maximum of 5 days)

About the Business Support Assistant role

We have an exciting opportunity for an experiencedAdministrator/Receptionist to join our Business Support team in the Glasgow office!

We are looking for a communicative and hardworking individual with experience in an administrative and/or receptionist role. The ideal candidate will have excellent IT skills and experience of using Microsoft Office 365, confident to be the first point of contact for clients and will be diligent and accurate with all tasks.

Key responsibilities of a Business Support Assistant will include:

  • Supporting the Business Support Team in providing support to the wider team at TC Alexander Sloan
  • Being the first point of contact for clients, both at reception and by telephone
  • Managing all incoming and outgoing mail and arranging courier services, where required
  • Handling main office e-mail and directing telephone enquiries
  • Data entry and system updates – e.g., Glide; CCH etc
  • General duties such as document printing and scanning, generating letters and other correspondence, diary management, collating and updating records etc
  • First point of contact office supplies, third party providers and other external services
  • Ensuring that the weekly/monthly tasks are carried out efficiently
  • Assisting with the Firm’s CRM Data Input – where appropriate.
  • Processing confidential and sensitive data
  • Liaising with IT and telecoms providers
  • Assisting with projects and ad-hoc tasks – as required

About you

We are looking for candidates with the following skills and experience:

  • 2+ years’ experience within a similar client facing administrative role
  • Excellent IT Skills and experience of using Microsoft Office 365 – SharePoint, Word, Excel, Outlook and PowerPoint – are essential
  • Highly personable with exceptional communication skills
  • Great attention to Detail
  • Comfortable speaking to a variety of clients
  • Ability to prioritise tasks and manage time effectively
