Job Description
Role: Technical & Data Coordinator
Salary: £28,000-£30,000 per year, depending on experience
Location: Regular travel to Edinburgh
It’s rare for companies to break out of the start up stage, rarer still to become profitable and keep growing. At Hyble, we’ve done both, and we’re not slowing down.
We started as 12 people in a tech incubator, taking on a problem the entire beverage industry had quietly accepted as normal: why did it take weeks for a sales rep to get their customer the marketing support they needed to start selling?
We built the answer. Hyble is now the only end to end point of sale ecosystem built for the global beverage industry. Active in 50+ markets, helping the world’s leading drinks brands create, approve, print, and deliver fully compliant POS materials in hours, not weeks. From 10 venues to 10,000, we give brands complete control at every touchpoint.
High Growth Scale Up We’ve delivered consistent revenue growth for eight consecutive years. Over the last three years alone, the business has grown 213% and reached profitability – a milestone that reflects years of deliberate, disciplined investment decisions that have paid off.
In 2023, we won a landmark contract with Southern Glazer’s Wine & Spirits, a $25 billion business and the largest wine and spirits distributor in the US.
Today we’re a 135+ person, award winning MarTech company operating across three continents – with 70% of our revenue generated in the US and a sales pipeline exceeding $70 million.
The Opportunity At Hyble, we’re building an AI first organisation with the mindset and capability to future prove the business and our teams. Across the business, we’re using AI to improve workflows and help teams work more effectively at scale.
Today, this role combines reporting, systems administration, data quality and customer coordination.
It’s for someone who loves solving problems, spotting gaps, improving processes and helping detailed, fast moving work run smoothly.
We’re also looking for someone who is excited by what we’re building, thrives in change and is keen to evolve over time alongside new systems and AI enabled workflows, helping shape how this function develops in the future.
What you’ll find here:
- Detailed focused that matters: This role is hands on and in the detail. You’ll work across database maintenance, operational reporting, and customer workflows that directly impact delivery.
- Ownership Early: You’ll quickly become a trusted part of a critical customer facing function supporting one of our largest US customers.
- Complexity: This role combines operational coordination, data handling, customer communication, troubleshooting and process improvement in a fast moving environment where accuracy matters.
- Systems That Are Evolving: We’re continuously improving how this function operates through better tooling, automation and AI enabled workflows. You’ll have the opportunity to contribute to that evolution over time.
- Real Impact: The work you do directly impacts reporting accuracy, customer experience and operational performance at scale.
Job Requirements This is a detail oriented, data intensive role within a fast moving customer environment.
You’ll support the day to day running of operational reporting and invoicing workflows for a major US customer, helping ensure data accuracy, reporting quality and smooth operational delivery across multiple markets.
This role sits within our Chargeback team, a critical function supporting one of our largest US customers, with our product live across 46 states. The team manages detailed reporting and invoicing workflows, using a combination of third party systems, data validation and financial administration to ensure accuracy at scale. This includes completing daily and weekly chargeback reports by reviewing and validating brand mentions across customer orders, maintaining data quality across systems and producing weekly and monthly invoicing through Xero accounting software.
While there is a strong administrative and detail focused element to the role, this role would suit someone who is analytical, technically curious and motivated to improve how things work. You’ll also need to communicate confidently with customers and internal stakeholders across the business.
This role suits someone who is comfortable balancing detailed execution with coordination and problem solving. Someone willing to roll up their sleeves, do the work and step in where needed to keep things moving.
You will:
- Support the completion of daily and weekly operational reporting, invoicing and systems administration for our US customer base.
- Maintain and update information within internal and third party systems such as products, pricing and customer data changes.
- Review, validate and maintain reporting data to ensure accuracy and consistency across workflows and systems.
- Perform quality control checks and support reconciliation processes.
- Identify issues, blockers or missing information early and proactively elevate or resolve them before they impact delivery.
- Support customer communication and help maintain strong relationships, by participating in customer calls, helping track actions and maintaining operational timelines.
- Work closely with teams across the business to ensure reporting, data and operational requirements are delivered accurately and on time.
- Support the wider team by answering questions, coordinating workflows, stepping in where needed and helping maintain momentum during busy periods.
- Contribute to process improvements, workflow optimisation and the evolution of systems, automation and AI enabled ways of working.
The Truth About Working Here It’s messy and fast. We’re scaling quickly, priorities move, and nothing stays still for long. We fail, we learn and we iterate. If you need perfect plans or predictable days, this won’t be for you.
It’s demanding. Customers are waiting, deadlines are real, and the bar is high. You’ll be trusted early, stretched constantly, and see your impact immediately.
It’s team first. No egos, no silos, no coasting. We push each other, support each other, and expect everyone to pull their weight. We help each other win.
What You Need to Bring
- Strong attention to detail: You’re highly accurate, organised and able to manage data heavy work consistently.
- Analytical mindset: You enjoy problem solving, spotting patterns and improving how things work.
- Technical and AI curiosity: You’re comfortable learning new systems and tools and interested in how technology, AI and automation can improve operational processes.
- Strong communication skills: You can communicate clearly with both internal stakeholders and customers.
- Resilience and adaptability: You’re comfortable working in a fast moving environment where priorities can shift quickly.
- Ownership mentality: You take responsibility for your work, follow through on actions and proactively solve problems.
- Strong organisational skills: You can manage multiple priorities, deadlines and operational tasks effectively.
- Excel and data confidence: You’re comfortable working with spreadsheets, data validation and operational reporting.
Bonus Points
- Experience working in data heavy administrative or coordination roles.
- Exposure to reporting, reconciliation or invoicing workflows.
- Experience using AI tools such as ChatGPT, Claude or Cursor to improve productivity.
- Experience working with operational systems or databases.
- Exposure to scripting, automation or data tooling for workflow optimisation.
- Data manipulation and analytics experience.
- Knowledge of Python, GIT and R/R Studio.
What We Are Not Looking For We want to be honest about this, because hiring the wrong person for this role would set us back.
- The “too good for admin” mindset: This role includes administrative and detail heavy work. We need someone who is comfortable rolling up their sleeves, getting into the detail and taking pride in the operational side of the role, not someone who sees that work as beneath them.
- The “heads down, task only” mindset: This role isn’t just about completing your own work. We need someone who naturally looks at the bigger operational picture – helping keep work moving, spotting blockers early and stepping in to support others.
- The person who avoids detail: Accuracy matters here. If detailed, data heavy work drains you or you struggle to stay focused on precision, this role will likely become frustrating quickly.
- The person who waits to be directed: We’re looking for someone who can identify what’s missing, spot when something doesn’t look right and step in where needed without waiting to be asked.
Missing a few requirements? Good roles stretch you. If you’re 70% there and hungry for the rest, we want to hear from you. If this role excites you, then apply. We’re more interested in trajectory than history.
How We Work This is our default setting – if this isn’t for you, we’ll both be miserable:
- Our values – humble, resilient, team, authenticity and bravery – are weaved into everything we do.
- We find a way – roadblocks are puzzles, not excuses.
- We own it – we roll up our sleeves and take responsibility. We own our mistakes and fix them.
- We’re ambitious . click apply for full job details
