Job Title: Senior Finance Assistant
Location: Livingston (office-based)
Contract Length: 18 Month FTC
Working Pattern: Monday-Friday 9am-5:30pm (including one-hour unpaid break per day)

About our client
One of our incredible long-standing clients within Livingston are currently looking for an experienced Senior Finance Assistant to join their dynamic team. As a Senior Finance Assistant, you will act as the Finance Director’s right hand, supporting them with tasks including financial forecasting, month-end management accounts, maintaining fixed asset registers, audit preparation and budget planning to ensure the smooth running of all in-house financial operations. However, you will also play a crucial role in managing day-to-day financial activities such as bank reconciliation, invoice generation and processing company expenses. Key Duties and Responsibilities
To be successful within this role, you must have experience carrying out the following tasks:
Bank Reconciliation:
- Conduct regular bank reconciliations to ensure all transactions are accurately recorded.
- Identify and investigate any discrepancies, ensuring timely resolution.
Accounts Payable and Receivable:
- Process invoices, payments, and receipts accurately and in a timely manner.
Financial Reporting:
- Assist in the preparation of monthly and annual financial reports.
Invoice Generation and Input:
- Generate invoices in a timely manner, ensuring accuracy and adherence to company policies.
- Input invoices into the system, maintaining a clear audit trail.
Data Entry:
- Maintain accurate financial records and update internal spreadsheets.
Managing and Processing Company Expenses:
- Review and process employee expense claims, ensuring compliance with company policies.
- Verify receipts and documentation, and process payments in a timely manner.
VAT Return:
- Processing of monthly/quarterly VAT returns (UK, Belgium, and Netherlands).
Fixed Assets:
- Maintain Fixed Assets register including calculation of monthly depreciation charges.
Balance Sheet Reconciliation:
- Ensure that all balance sheet G/L’s are reconciled and post any month end journals.
Budget Assistance:
- Support the Finance Manager in budget preparation and monitoring.
Audit Support:
- Assist in the external audits by providing necessary documentation and information.
General Administrative Support:
- Perform other administrative tasks as required.
Reviewing Monthly Management Accounts:
- Assist in the preparation and review of monthly management accounts, highlighting any discrepancies or trends.
- Support the Finance Manager in financial analysis and reporting.
Maintaining Financial Journals and Sales/Purchase Ledgers:
- Ensure that all financial transactions are accurately recorded in the appropriate ledger.
- Reconcile sales and purchase ledger accounts, resolving any discrepancies.
Your Skills and Experience
To be successful in this role, you need to have the following:
- Previous experience in a senior finance role.
- Excellent knowledge of financial systems, processes, and procedures.
- Part AAT/ACCA/CIMA qualified is preferred.
- Strong attention to detail and accuracy in record-keeping.
- Previous experience in handling international accounts and dealing with multiple currencies is desirable, but not essential.
- Proficiency in using accounting software and Microsoft Excel as well as bespoke in-house systems.
- Excellent communication and teamwork skills, with the ability to interact with stakeholders at all levels.
