Planning & Scheduling Coordinator

Fixed term contract – 1 year

Location: – Glasgow, UK and Athens, Greece

What we’re looking for

  • The Planning & Scheduling Coordinator is responsible for handling a wider range of administrator jobs with a focus on managing exceptions, such as rescheduling and reallocation. This role includes all responsibilities of the Administrator role, with additional focus areas to ensure effective and efficient service delivery.

The role

Enhanced Local Knowledge: Develop and maintain deep local knowledge of clients, locations, and surveyors to improve planning and scheduling efficiency; ability to use this knowledge to provide more accurate and effective scheduling solutions.

Exception Management: Experience in managing exceptions, such as reschedules and reallocations by acting as the focal point for handling exceptions and challenges, ensuring minimal disruption to service delivery.

Optimal Solutions: Take on more responsibility for finding the best solutions for clients and LR evaluating various options and making decisions that align with client needs and organizational goals.

Client Contact: Serve as the primary point of contact for clients to work through exceptions and challenges, communicating effectively with clients to resolve issues and ensure their satisfaction.

Request Management: Manage Planning & Scheduling Requests to completion, ensuring they meet proposed KPI targets including monitoring and tracking requests to ensure timely and accurate execution of requests.

Adherence to Standards: Ensure compliance with global standards and processes in all planning and scheduling activities by maintaining high levels of accountability and performance in adhering to these standards.

Client Centricity: Responsible for identifying customer needs and taking timely steps to maintain positive experiences. Promote a client-centricity culture, focusing on a positive and consistent client journey.

Ownership Handover: Ensure smooth and clear handover of tasks between teams during process cycle. Follow RACI document and clearly communicate transition points to avoid any task overlapping or gaps in ownership.

Administrator Activities: Undertake all responsibilities of the Administrator role necessary to fulfill responsibilities.

What you bring

  • Experience in SAP By Design and Salesforce would be beneficial but not essential.
  • Min 2 years of experience in an office administrative environment.
