Level 2 Vatting Administrator (Double Day Shift)
Location: Kilmalid, Dumbarton.
Manager: Team Leader. Team: Bottling & Blending, Vatting.
About the Role
As a Level 2 Vatting Administrator, you will carry out administrative tasks, ensuring accurate documentation, ordering, and compliance processes within the department. You will maintain HMRC compliance, record keeping, inventory management, supplier liaison, and continuous improvement initiatives.
Key Responsibilities
- Regulatory compliance – maintain and record documentation to meet HMRC and excise duty regulations.
- Document & record keeping – maintain accurate records of spirit transfers, blending, and stock movements.
- System management – use digital tools such as Spirit Management Systems (SMP), EMCS, E1 Q-Pulse, and other data entry platforms.
- Inventory control – track stock levels of raw materials, including spirit batches, caramel, and filter sheets.
- Purchase orders & supplier liaison – order consumables and coordinate deliveries with suppliers.
- Time & attendance tracking – process time and attendance using My Options and Workday, including overtime, holidays, and absences.
- Reporting – provide performance data and reports to department management.
- Continuous improvement (CI) – actively participate in CI initiatives, including A3 projects.
- Communication & coordination – work closely with production teams, quality control, and logistics to ensure smooth vatting operations.
Required Skills and Experience
- Strong administrative and organisational skills.
- Experience in spirit processing, vatting or a similar production environment.
- Strong understanding of HMRC compliance and stock control processes.
- Proficiency in relevant data management and production systems.
- Ability to liaise effectively with suppliers and internal stakeholders.
- Attention to detail and accuracy in record keeping.
