What is the role?

Emergency Assistance Fund Administrator

Working Hours

  • Monday – Friday, 9am – 5pm

Salary

£24,479 – £31,239 (starting at the lower band with progression subject to review)

Primary Location

Broadside, 2 Powderhall Road, Edinburgh, EH7 4GB (covering throughout)

Reporting

Office Manager within the Finance & Estates Team.

Responsibilities

Provide essential administrative and operational support to ensure the smooth running of the Emergency Assistance Fund, supporting the EAF Coordinator and Locality Managers in the timely purchase and delivery of items and services to applicants. Support the full process and administration of the fund and undertake general office duties.

Lead procurement for the Emergency Assistance Fund, including ordering items, coordinating delivery and installation, maintaining accurate records, ensuring timely credit card returns, monitoring stock, arranging replenishment, and developing processes, procedures and documentation.

Ensure compliance with relevant policies, including GDPR, and log all transactions and communications for audit and reporting purposes.

Provide facilities management support: oversee Health & Safety processes, organise repairs, act as the main point of contact for photocopier contracts, and manage the recycling contract.

Deliver reception facilities: answer calls, coordinate room bookings and catering for meetings and events as required.

Qualifications

Relevant experience from a similar role and a strong commitment to professional development.
