Service Care Solutions are working with a well-established legal firm who are looking to recruit an experienced Secretary / Personal Assistant to join their Commercial Property Team in Aberdeen.
This is a varied and fast-paced role, ideal for an organised, proactive individual who is comfortable managing multiple priorities and supporting fee earners in a busy professional environment.
The Role You will provide comprehensive secretarial and administrative support to the Commercial Property team, ensuring client matters and internal processes run smoothly and efficiently.
Key Responsibilities
- Scanning, saving and distributing incoming mail
- Preparing and managing outgoing correspondence
- Managing dictation and producing legal documentation promptly
- Compiling offers and leases
- Arranging document signing and completion. Handling incoming calls from clients and third parties
- Taking accurate messages and liaising with clients and solicitors
- Supporting billing and cashroom processes, including invoices, balances and payment forms
- Preparing CHAPS forms and arranging authorisation
- Opening, closing and archiving files. Locating and managing documents stored in safes and archives
- Using Elite to open files and produce billing reports
The Ideal Candidate
- Previous experience in a legal secretary or PA role (commercial property experience preferred)
- Highly organised with strong attention to detail
- Able to manage competing deadlines effectively
- Professional and confident when dealing with clients and third parties
