Overview

The role

The department provides a full range of professional administrative, secretarial and clerical services which support clinical staff to deliver high quality, efficient and effective patient-centred care within Acute Services, in line with local and national standards.

Duration, Location, and Working Pattern

Permanent, Full time

Glasgow Dental Hospital, 378 Sauchiehall Street, Glasgow, G2 3JZ

Shift pattern – Monday – Friday

Key responsibilities

  • Transcribe dictation from outpatient clinics, medical correspondence, reports, and discharge summaries.
  • Enter and maintain patient data on clinical systems to support follow-up care.
  • File clinic letters via Winscribe into the Clinical Portal (EPR).
  • Maintain quality standards and meet typing turnaround times.
  • Provide telephone cover for the department.
  • Scan documents into the Clinical Portal.
  • Process SCI Gateway referrals.
  • Print all typed correspondence.
  • Share responsibility for Health & Safety within the office.
  • Participate in Personal Development Planning and Review.
  • Comply with GDPR, Access to Health Records Act, Freedom of Information Act, and confidentiality legislation (e.g. Caldicott).
  • Complete all required Statutory and Mandatory training.
  • Promote and uphold NHS Scotland core values in daily work.
  • Act as a role model for NHSGGC values, demonstrating professionalism, dignity, and respect.

Knowledge, training, qualifications and/or experience required to do the job

  • Secretarial Studies certificate and advanced keyboard skills and accurate transcription speeds.
  • Proven proficiency in English and medical terminology.
  • Knowledge of PC Office software packages.
  • Excellent organisational and communication skills.
