Description

Join OCU Group as a Site Administrator and play a key role in supporting the successful delivery of a major live construction project at Devilla Wood. Working closely with the Project Director, Project Manager and wider project team, you’ll help ensure the smooth day-to-day running of the site office and provide vital administrative support across the project.

This is a varied and hands on role where no two days are the same, offering exposure to project delivery, document control, onboarding, training coordination and stakeholder support. You’ll be a central point of contact for the team, helping maintain organisation, accuracy and efficiency across site operations. What you’ll do

  • Manage day to day office administration and ensure the smooth running of the site office.
  • Handle incoming emails, telephone calls and correspondence.
  • Maintain electronic and paper filing systems, ensuring records are accurate and up to date.
  • Coordinate business travel and accommodation bookings for project personnel.
  • Order office supplies and support office facilities management where required.
  • Support onboarding and induction processes for new employees and contractors.
  • Assist with the coordination of training activities and maintain training records.
  • Prepare, format and distribute reports, spreadsheets, presentations and project documentation.
  • Support the tracking of purchase orders, invoices, supplier information and project costs.
  • Provide administrative support to the Project Director and Project Manager.
  • Assist with document control and project information management activities.
  • Coordinate meetings, take minutes and track actions through to completion.
  • Maintain accurate records across company systems and shared platforms.
  • Support the wider project team with administrative tasks as required.

What you’ll bring

  • Previous experience in an administrative, office support, site administration or coordination role.
  • Strong IT skills, including Microsoft Word, Excel, Outlook, Teams, PowerPoint and OneDrive.
  • Excellent organisational and time management skills.
  • High level of attention to detail and accuracy.
  • Ability to manage multiple priorities and work effectively in a busy environment.
  • Strong written and verbal communication skills.
  • Ability to work independently, use initiative and solve problems proactively.
  • Previous experience working on construction, engineering, infrastructure, utilities or project based environments.
  • Experience supporting project teams, site teams or operational departments.
  • Familiarity with document control systems and shared digital workspaces.
  • Experience coordinating training records, onboarding or compliance documentation.
  • Confidence working with a range of internal and external stakeholders.
