IT Asset Manager

Grade: HEO

Total remuneration: £47,590 to £54,482
Base salary: £41,026 – £46,968, including a Digital, Data and Technology Annual Pay supplement (16%)

Pension: 28.97% (RoS contribution)

Annual leave: 38 days, increasing to 42 days with length of service

Duration: Permanent

Working Pattern: 35 hours per week; flexible patterns considered

Location: Hybrid – base at Meadowbank House, Edinburgh (EH8 7AU) or St Vincent Plaza, Glasgow (G2 5LD). Regular on site work required.

Key Responsibilities

  • Oversee and optimise the management of IT assets throughout their lifecycle, from acquisition to disposal.
  • Work with Product Managers to ensure RoS has the right IT assets to meet current and future needs, minimising costs, risks and waste.
  • Ensure compliance with legal, contractual and regulatory requirements related to IT assets.
  • Improve IT service quality and efficiency by reducing downtime, enhancing performance and facilitating upgrades and replacements.
  • Maximise IT asset value and return on investment by aligning IT assets with business objectives and identifying opportunities for reuse and redeployment.
  • Minimise IT asset risks and liabilities through proper security, maintenance and disposal, and maintain accurate inventory, usage and ownership reporting.
  • Support IT asset governance and strategy by providing reliable data and insights for decision making and planning.
  • Oversee the asset discovery process to identify all IT assets within the organisation.
  • Develop and implement an effective asset management strategy and maintain the company’s IT asset inventory, including hardware, software licences and digital certificates.
  • Coordinate asset acquisition, develop and optimise policies for acquisition, maintenance and disposal.
  • Ensure compliance with organisational policies throughout the asset lifecycle.
  • Manage day to day asset processes: inbound deliveries, unloading, recording, outbound deliveries and liaison with couriers.
  • Control stock, analyse supply levels, predict inventory problems, produce reports and coordinate re stocking and procurement.
  • Coordinate WEEE equipment recycling.
  • Build and maintain strong stakeholder engagement with Service Desk, Procurement, IT Enablement, Estates, Finance and Product teams.
  • Continuous improvement of inventory management processes and practices.
  • Develop opportunities for asset management in other areas within RoS and extend principles and practices.
  • Create and regularly review Knowledge Base articles for each process.

Essential Criteria – Skills and Attributes for Success

  • Strong understanding of ITIL processes, including change, incident and problem management.
  • Previous experience of IT Asset Management in an ITIL environment (hardware, software, licences, digital certificates, warranties, end of life disposal).
  • Knowledge and experience of inventory management system principles.
  • Experience using ServiceNow or equivalent ITAM and ITIL software tools for asset management, tracking and data analysis.
  • Excellent MS Excel skills.
  • Excellent communication, organisational and time management skills.
  • Excellent decision making skills, high attention to detail and the ability to work independently.
