Job Description
The role
We have an excellent opportunity to join our dynamic Administration Team. The Women & Children’s Directorate is actively keen to support their teams in the implementation of new digital M365 apps. The role involves providing a comprehensive audio typing service to the Maternity & Gynaecology Team, transcribing dictation from outpatient clinics, letters and discharge summaries, entering data onto clinical systems to support patient follow up, uploading files to the Clinical Portal (for EPR), ensuring compliance with quality standards and timescales for typing turnaround, processing SCI Gateway referrals, and providing telephone cover within the department.
Key responsibilities
- Transcription of dictation received from outpatient clinics, letters, medical and reports for external agencies (e.g. Department for Work and Pensions) and discharge summaries.
- Data entry onto clinical systems to support patient follow up requirements.
- Filing clinic letters via Winscribe into the Clinical Portal (for EPR).
- Ensure compliance with quality standards and timescales for typing turnaround.
- Provide telephone cover within the department.
- Scanning documents onto the Clinical Portal.
- Processing SCI Gateway referrals.
- Printing all typed letters.
- Shared responsibility for Health & Safety within the office area.
- Participate in Personal Development Planning & Review.
- Comply with the requirements of the General Data Protection Regulations (GDPR).
- Access to the Health Records Act, Freedom of Information Act and related legislation in relation to confidential data (e.g. Caldicott).
- Undertake statutory and mandatory training as required.
- Promote and display NHS Scotland core values of care and compassion, dignity and respect, openness, honesty and responsibility and quality and teamwork in the discharge of duties.

Knowledge, training, qualifications and/or experience required
- Secretarial Studies certificate and advanced keyboard skills with accurate transcription speeds.
- Proven proficiency in English and medical terminology.
- Knowledge of PC Office software packages.
- Excellent organisational and communication skills.
Sponsorship
No Band 2 roles are eligible for sponsorship under the Skilled Worker visa or Health and Care Worker visa routes. For Band 3 roles, only posts of 32 hours per week or more may meet eligibility. NHS Greater Glasgow and Clyde cannot provide a Certificate of Sponsorship for roles that do not meet these criteria, and applications requiring sponsorship will not be considered.
Duration, location, and working pattern
Monday to Friday, 9 am to 5 pm. Full time 36 hours.
